The Company is fully aware of the social imperative of protecting personal information, and has adopted and adheres to the following Privacy Policy to ensure thorough protection thereof. By this effort, we acquired Privacy Mark Certification (certification No. 11820123) from the Japan Information Processing Development Corporation (currently the Japan Institute for Promotion of Digital Economy and Community (JIPDEC)) on October 5, 2001, certifying that we are a business operator that handles personal information appropriately.

Personal Information Protection Policy

ODK Solutions Company, Ltd. ("Company", "we") provides entrance exam-related services for school corporations and general securities management services, etc. for securities firms based on our management philosophy of "contributing to the prosperity of customers and the development of society through the information services business." We will always bear in mind the following matters and take all possible measures for the protection of personal information.

  1. When acquiring personal information, we will state the purpose of acquisition and use the information within the necessary scope. In addition, we will use the personal information within the scope of the purpose of acquisition, manage it in an appropriate manner, and will not disclose or provide it to a third party without the consent of the individual concerned. In addition, we have taken measures to ensure the information is not used for other purposes.
  2. We will use the specific personal information within the scope of the purpose of use determined, in compliance with the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures, the Act on the Protection of Personal Information, and the Guidelines on the Proper Handling of Specific Personal Information, and will not use the same for any other purpose.
  3. When outsourcing the handling of personal information (including specific personal information) to a third party, we will conduct a rigorous investigation of the subcontractor and properly supervise them so that they fulfill their obligations as we deem appropriate.
  4. We will strive to protect personal information appropriately in compliance with guidelines and other codes determined by the government regarding personal information.
  5. We will ensure the personal information is kept accurate and up-to-date, and take required and appropriate preventive measures and corrective measures against leaks, loss or damage, etc. of personal information.
  6. We will respond promptly and appropriately to complaints and inquiries regarding personal information, as well as to inquiries about this Privacy Policy, through the contact point for personal information as shown below.
  7. We will establish a personal information protection management system (including personal information protection regulations and related rules), make sure that all employees and other related parties are thoroughly familiarized with this system, and effectively implement and maintain this system and work toward its continuous improvement.

Matters for Disclosure under the Act on the Protection of Personal Information

ODK Solutions Company, Ltd. (the "Company", "we") will handle personal information as follows.

Public Disclosure of Purpose of Use of Personal Information

When we acquire personal information directly by such means as document, we will expressly indicate the purpose of use in each instance, and use the information within the scope of such purpose of use. If we need to use the personal information beyond the purpose of use expressly indicated in advance, we will notify the individual concerned to that effect and use the information after obtaining the consent thereof.
The purposes of use of the personal information in the possession of the Company are as follows.

  1. Personal information relating to business partners
    • For business-related communication
  2. Personal information relating to employees (including dispatched workers)
    • For employment management and health management of employees
    • For various types of education and training for employees
    • For business-related communication
    • For the purposes of use stipulated in the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures, in terms of specific personal information
  3. Personal information relating to applicants for hiring
    • To provide hiring information on the Company
    • For hiring screening and post-hiring employment procedures
  4. Personal information relating to outsourced operations
    • For conducting processing based on outsourcing agreements
    • "Personal information regarding outsourced operations" is not subject to disclosure
  5. Other (personal information acquired at the time of inquiry)
    • For communication related to inquiries

Provision of Personal Information to Third Parties

We will not provide the acquired personal information to a third party without the consent of the individual concerned, except for the following cases.

  1. When required by laws and regulations;
  2. Where provision is required for the protection of the life, body or assets of the individual concerned and it is difficult to obtain consent;
  3. Where provision is especially necessary for improving public health or promoting sound development of children, and it is difficult to obtain the consent of the individual concerned;
  4. Where it is necessary to cooperate in the execution of administrative affairs prescribed by laws and regulations by national agencies or local public bodies, or parties contracted thereby, and obtaining the consent of the individual may impede the execution of administrative affairs;
  5. Where all or part of the handling of personal information is to be outsourced;
  6. Where the business of the Company is succeeded due to merger, spin-off, business assignment or other reasons, and personal information is handled within the scope of the purpose of use before the succession

Joint Use of Personal Information

The Company will jointly use personal information as described below:

  1. Items of Personal Information Subject to Joint Use
    All items of personal information acquired at the time of receiving inquiries, including name, company name, telephone number, and email address.
  2. Scope of Joint Users
    The Company's group companies (affiliated companies).
  3. Purposes of Joint Use
    The purposes of using personal information subject to joint use are as follows:
    • To accurately understand and respond to inquiries, and to contact the relevant parties, including by sending information.
    • To provide information on services and deliver advertisements.
    • To provide information on seminars, events, etc., accept applications thereto, and conduct and analyze questionnaires.
    • To contact relevant parties regarding cooperation in promotional activities, including the aggregation and publication of information obtained through interviews, questionnaires, and seminars or events hosted by the Company.
    • To conduct market analysis and develop new services, etc.
    • To analyze services and improve them, including enhancing user convenience.

Security Management Measures

The Company maintains personal information in an accurate and up-to-date manner, and implements necessary and appropriate security management measures to protect it against risks such as unauthorized access, leakage, alteration, loss, or damage.
An overview of the Company's security management measures is as follows:

  • Formulation of Basic Policy
    We have established a basic policy on personal information protection and strive to ensure its proper handling.
  • Organizational Security Management Measures
    We have appointed a Personal Information Protection Manager, established an internal handling framework, and implemented a mechanism to audit and inspect the handling of personal information.
  • Personnel Security Management Measures
    We provide employees with training and education at the time of hiring and on a regular basis to thoroughly instill the importance of personal information protection and handling rules.
  • Physical Security Management Measures
    We implement entry and exit controls, locked storage for documents, and clean desk and clean screen practices for physical documents and devices to prevent unauthorized access and misuse.
  • Technical Security Management Measures
    We implement access control management, enhanced authentication, encryption of communications, installation of anti-virus software, and logging and monitoring.
  • Understanding of External Environment
    When using cloud services provided by third parties located in foreign countries and storing personal data on servers managed by such providers, we identify the cloud service provider and the country where the servers are located, understand the personal information protection framework, etc. of that country or region, and implement appropriate security management measures based on such understanding.

Procedures for Requests for Disclosure, etc.

We will handle requests for personal information in our possession, for 1) notification of the purpose of use, 2) disclosure, 3) correction of content, 4) addition of content, 5) suspension of use, 6) deletion, or 7) suspension of provision to third parties, or 8) disclosure of records relating to third-party provision. (hereinafter 1) through 8) shall be referred to as "disclosure, etc.")

Note: For notification or disclosure of the purpose of use, the following fees are required:

  • For recorded delivery mail
    350 yen in postal stamps for record delivery mail shall be affixed to the Reply Envelope in addition to the normal postal stamp fees
  • For delivery-certified mail
    A total of 830 yen (480 yen for ordinary registered mail and 350 yen for delivery certification) shall be affixed to the Reply Envelope in addition to normal postal stamp fees

Form of request document for "disclosure, etc."

Download the request form prescribed by the Company, enter all required matters, enclose the document for identification, and send them to the above destination for request.
We accept the following official documents (photocopies permitted) as documents for identification.
Please note, depending on the type of identification document, some documents suffice by themselves, while others necessitate the presentation of two documents.

  • Documents that can suffice by themselves (official documents with portrait photos attached): Driver's license, basic resident registry card with photo, passport, etc.
  • Documents that require presentation of two documents (official document without face photo attached): Basic resident registry card without photo, national health insurance certificate, health insurance certificate, national pension book, etc. Two of any can be presented.

Note: For the space for "registered domicile," please send us document copies after redacting it so that it cannot be identified by the Company.

Request for disclosure, etc. by an agent

If the person requesting "disclosure, etc." is the legal representative of the individual concerned, a minor, or an adult ward, or an agent entrusted by the principal to request disclosure, etc., enclose the following documents in addition to the documents as referred to in the preceding paragraph.

Note that in the same way as the documents in the preceding paragraph, in the space for "registered domicile," please send us a document copy after redacting it so that it cannot be identified by the Company.

  • Power of Attorney confirming the power of attorney of agent,
  • A copy of an insurance card in which are stated the family register or dependents
  • One copy of a document confirming that the person is the legal representative of a minor or an adult ward
    (Documents to confirm the legal representative: identity verification documents mentioned above)

Reply for the request for "disclosure, etc."

Cases where requests for disclosure, etc. can be addressed

  1. In the case of requests for notification of the purpose of use, disclosure of personal information, or disclosure of records concerning provision to third parties, we will, in principle, respond using the method specified by the person concerned or their agent in the "prescribed request form." However, if it is difficult to respond using the specified method, we will respond by sending a written document by postal mail.
  2. In the case of correction, addition, deletion, suspension of use, erasure, or suspension of provision to third parties relating to personal information, we will notify you of the completion of the request by sending a written document by postal mail or email.

Cases where requests for disclosure, etc. cannot be addressed

Regardless of items 1 and 2 above, we will notify you to that effect by sending a written document by postal mail or email.

Purpose of use of personal information acquired relating to request for "disclosure, etc."

Personal information acquired in connection with requests for disclosure, etc. shall be handled only within the scope required for the request for disclosure, etc. Submitted documents shall be retained for three (3) years after the reply to the request for disclosure, etc. is completed, and then discarded properly thereafter.

In the following cases, we will not disclose information.
If we decide not to disclose, we will notify the requestor to that effect with reasons.

  • When there is some deficiency in the prescribed request documents;
  • When the identity of the individual concerned cannot be confirmed, such as when the address stated on the request form, the address stated on the identity verification document, and the address registered with us do not match;
  • If the authority of representation cannot be confirmed in the case of an application by an agent;
  • When the personal information for which disclosure, etc. is requested cannot be found by the Company;
  • When there is a risk of harming the life, body, or other rights and interests of the individual concerned or a third party;
  • When there is a risk of encouraging or inducing illegal or wrongful acts by performing disclosure, etc.;
  • When there is a risk that the disclosure, etc. will impede the prevention, suppression or investigation of a crime or the public safety and order otherwise;
  • When there is a risk of significant obstruction of the proper implementation of our business;
  • When to do so would violate other laws and regulations;
  • When the business is outsourced
